1.8 - Social Events/Gatherings

PURPOSE

To define the guidelines for the use of Institute funds for social events/gatherings.

Rensselaer recognizes that certain celebrations and festive events are important for building a sense of community and support within the Institute. It is always important, however, that those responsible exercise prudent judgment in authorizing the use of Institute resources to support such events.

POLICY

Only Institute funds can be used for social events/gatherings. Federal and state funds cannot be used for such functions.

Examples of appropriate social events/gatherings where Institute funds can be used include:

  1. Welcoming of a new employee(s)
  2. Farewell to departing employee(s)
  3. Recognition of a prestigious honor, award or significant life event
  4. Events for the purpose of strengthening morale (with Cabinet level approval)

Expenditures $2,500 or greater will require approval of the appropriate Portfolio Owner.

PROCEDURE

Expenditures less than $2,500 should be processed using the Procurement Card.

Expenditures $2,500 or greater must follow the Requisition processing rules and must have the approval signature of the appropriate Portfolio Owner.
